Baar Soif takes care of your data. We only collect what we need to respond to your enquiry and help your event run smoothly.
Who are we?

What data do we process?
When you complete the quote form on this website, we receive:
- your company name, name, job title, email address, phone number and VAT number (required for businesses);
- your event details: event type, date, location, number of guests, selected drinks and extras;
- any comments you choose to add.
To calculate your price, we only send your selections to our server (number of guests, duration, drinks and distance), not your identity. We only receive your contact details when you request a proposal or quote, or tick the box allowing us to contact you about your price.
What do we use it for?
To send you a tailored proposal, prepare your event and, if you become a customer, issue an invoice. The legal basis is taking steps at your request before entering into a contract (Article 6(1)(b) GDPR) and, for invoicing, our legal obligations.
If you tick the box allowing us to contact you about your price, we receive your details at that point and contact you by email or phone about that price, even if you haven’t submitted an enquiry yet. The legal basis is your consent (Article 6(1)(a) GDPR). The box is optional: you can still see your price without ticking it.
You can withdraw your consent at any time. WhatsApp us on +32 474 69 11 21 and we will stop contacting you and delete your details, unless you have since submitted an enquiry or become a customer.
We do not send newsletters or advertising without your explicit consent, and we never sell your data.
How long do we keep your data?
We delete enquiries and price requests that do not lead to a booking no later than two years after the last contact, or sooner if you withdraw your consent. We retain data needed for accounting, such as invoices, for as long as the law requires (generally seven years).
Who has access?
Only Baar Soif and the service providers we need to operate the website and email. They process your data solely on our behalf and in accordance with our instructions:
- Vercel Inc. (United States): website hosting and processing of the quote form;
- Resend (Plus Five Five, Inc., United States): sending emails containing your enquiry and confirmation;
- Supabase (Supabase Pte. Ltd., Singapore): the database where we store your enquiry, on servers in Ireland;
- our email provider: the mailbox where we receive your enquiry.
As Vercel and Resend are US companies, your data may be processed in the United States. Both are certified under the EU–US Data Privacy Framework and also use the European Commission’s Standard Contractual Clauses. Supabase stores your data in Ireland, but may also process it from Singapore and the United States, for example for maintenance and support; these transfers are covered by the European Commission’s Standard Contractual Clauses.
We keep your enquiry in our mailbox and in our database at Supabase (in Ireland). Our service providers also retain a temporary copy: Resend stores sent emails and delivery data for 30 days (plus a further 7 days in backups) in the United States. If an email fails to send, our hosting provider briefly stores the content of your enquiry in its technical logs so that it is not lost; those logs are automatically deleted after one day.
Cookies and local storage
We only set analytics or marketing cookies with your consent. We do not save your quote form answers in your browser. Our cookie notice explains which cookies this website uses and how to change or withdraw your choice.
To prevent the form from being submitted repeatedly in quick succession, the server uses a hashed version of your IP address. As with any website, our hosting provider may also retain technical data such as your IP address in server logs.
Your rights
You have the right to access your data, have it corrected or erased, restrict its processing, request data portability and object to its processing. To exercise these rights, WhatsApp us on +32 474 69 11 21; we will reply within one month. If you are unhappy with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority.
